The 5/10/15/20/25 tier playbook — commit once, reuse for 20 years
The biggest reason long-service programs feel disjointed: HR picks a different format every year by accident. Then a year-15 staffer ends up with a piece that visually outranks the year-25 awards handed out three years ago.
Fix is a tier ladder you commit to once and reuse forever.
The playbook we recommend:
- Year 5 — engraved lapel pin or small acrylic plaque (RM 50-150). Light enough to hand out at a monthly town hall.
- Year 10 — wooden plaque with brass nameplate (RM 180-380). Traditional Malaysian corporate pick. Reads warm and serious on a parent's bookshelf.
- Year 15 — crystal block, company logo etched, citation engraved (RM 350-700). First tier that genuinely belongs on a desk or living-room shelf as a focal point.
- Year 20 — mixed-material centrepiece (crystal on wooden base, or metal-and-crystal combo, RM 600-1,200). Visibly bigger than the year-15 piece, on purpose.
- Year 25 and beyond — pewter centrepiece with motif (batik, hibiscus, company crest), or a fully bespoke commission (RM 900-2,000+). The kind of piece the recipient describes to their family.
Once the ladder's fixed, every subsequent year is a one-line WhatsApp brief: same format as last year, here are the names.
No yearly re-spec. No quiet mismatch where a lower milestone looks more premium than a higher one.

Reuse the master design — year-2 brief drops to one CSV
Second efficiency win: commit to a master design per tier and reuse it.
Year one we mock up five master layouts:
- Pin
- Year-10 plaque
- Year-15 crystal
- Year-20 mixed
- Year-25 pewter
Each carries your company logo, brand-consistent typography (we match your brand guidelines if you have them, recommend a direction if you don't), and a citation block that swaps name, role, and dates per piece. Masters stay on file with us for as long as you need them.
Year two onwards the brief is a CSV of recipients (name, honorifics, role, years). We pull the master, drop in the names, send a digital proof for sign-off, produce.
Brief to shipped pieces:
- Year one: ~3 weeks
- Year two onwards: ~10 working days
Your awards look identical year on year. That's the point. A 25-year staff member should see the same plaque format their senior colleague got five years ago, not a fresh design that quietly makes their tier feel less considered.
The practical win: a 30-recipient program can save 8-12 hours of HR briefing time per cycle once the masters are on file.

Year 5:
- Lapel pin: RM 50-120

Year 10:

All customisation is free — engraving, logo etch, bilingual layouts, custom citations. Only extra is courier (Pos Laju or J&T from Brem Park), typically RM 12-45 per shipment.
Bulk pricing kicks in at 10+ pieces per tier.
A mid-sized GLC running 30 long-service recipients across all five tiers lands RM 12k-28k depending on tier mix.
Lead times and ceremony-day prep — the MC cheat-sheet detail
Standard lead time from artwork sign-off:
- Acrylic, crystal, brass: 5-7 working days
- Pewter: 7-14 working days
- Wood: 7-10 days (10x MOQ)
- Fully bespoke or custom-mould: 2-6 weeks
For the standard November or December ceremony, brief us by mid-October. December is our densest production window of the year — leave it later and we'll do our best, but we'd rather not promise.
The cleanest workflow:
- WhatsApp the recipient list (CSV or paste) with names, honorifics, roles, years
- Digital proofs back within a few hours during business hours
- You approve on WhatsApp
- We produce and ship
Delivery:
- KL or Selangor office (PJ, Subang, Shah Alam, Cheras, Cyberjaya, Putrajaya): 1-3 working days
- Penang, JB, Ipoh: 2-3 days
- Kuching, KK: 3-5 days

How to brief us for a clean program
Year one brief takes a 15-minute WhatsApp call. Send five things:
- The tier ladder — confirm the 5/10/15/20/25 default or your own variation
- Company logo as SVG, AI, EPS or high-res PDF
- Brand colours and any typography guidelines
- Recipient list — full names with honorifics (Datuk, Datin, Tan Sri, Tuan Haji, Pn., En.), role, team, years of service
- Citation pattern — generic ('In appreciation of 15 years of dedicated service') or personalised (one specific line per recipient, which we can draft from a 30-second sketch each)
Year two onwards just send the recipient list. We have everything else on file.
