You’re allowed to write a plaque citation that sounds like one person thanking another. Nobody appointed HR the official voice of formal gratitude.
The default register, “in recognition of your dedicated service to the company,” was never a rule. It’s a habit from an old template nobody owns. You can drop it tonight and nothing breaks.
Here’s the test: read your draft out loud. If it sounds like a press release, it’s wrong. If it sounds like one real person thanking another, it’s close.
Short answer: Good appreciation-plaque wording is specific, short, and reads cleanly aloud. Follow a four-line structure — a short title, the recipient’s name first, one or two specific lines on the why, then who it’s from and the date. Cut the generic filler, and keep within the word count for the plaque size. Below are 40-plus templates to steal, plus the phrases to cut.

The four-line structure that beats every blank page
Almost every successful appreciation plaque follows this skeleton:
[Lead title — 2-5 words]
[Recipient name — full name with proper honorifics]
[Specific reason — 1-2 sentences, max 30 words]
[From + date]
The mistake: burying the recipient name under a long title.
The recipient should see their own name first when they look at the plaque on their wall.
Not “OUTSTANDING SERVICE AWARD” in 80pt with their name in 14pt below.
Quick rule: if you remove every adjective from your draft and the wording still makes sense, you’re close to right. If it falls apart, you wrote too much.
1. Corporate long-service: the most-abused category in plaque history

Six phrases to cut from every draft
These phrases appear on almost every weak appreciation-plaque draft I see. Cut them.

Cut everything that the reader could already infer from looking at the plaque. What’s left is the actual thanks.
Wording length by plaque size: the cheat-sheet that prevents font shrinkage
Different plaque sizes need different wording lengths to look balanced. Quick reference:

Going over these counts forces the engraver to shrink font size. Makes the plaque feel cheap.

Final reminders
- Spell every name correctly. We engrave from your approved proof — re-engraving a misspelled name = fresh production run + fresh cost. Cross-check against the recipient’s IC, business card, AND most recent LinkedIn — HR records sometimes lag actual usage.
- Use proper honorifics. Datuk, Datin, Tan Sri, Tun, Tuan Haji, Yang Berhormat — get them right. Ask the recipient’s office if unsure, or check against the Istana Negara honours protocol. The Pahang “Dato’ Sri” and federal “Datuk Seri” are not interchangeable.
- Bilingual reads well. BM headline + English citation (or vice versa) signals respect for both audiences and reads beautifully on most Malaysian corporate plaques. Mandarin and Tamil scripts are also routine for vernacular-school and Indian-association recipients. For BM phrasing accuracy, Dewan Bahasa dan Pustaka’s reference is the definitive source.
- Punctuation matters. A comma in the wrong place will haunt the plaque for twenty years. Read the proof aloud before approving.
