If you sit on a PIBG committee or you’re the teacher responsible for school awards procurement, you already know that trophy ordering is one of those jobs that always happens at the worst possible time — usually two weeks before the event, with a budget that’s been quietly squeezed since the last AGM.
We supply schools across the Klang Valley and beyond, and the patterns are remarkably consistent across SK, SMK, SJKC, SJKT, MRSM and international schools. Here’s how to plan a PIBG trophy order properly, what realistic pricing looks like, and how to navigate the procurement side without it eating your week.
The three school events that drive trophy orders
Most schools order trophies and medals around three recurring events, each with its own brief:
Speech day (Hari Anugerah Cemerlang)
The big one. Top student per stream, top in subject, full-attendance, character award, leadership. Usually:
- 30-80 awards in total
- Mix of plaques, small trophies, and certificates
- Conservative materials — wood and acrylic dominate
- Engraved with student name, achievement, and year

Sports day (Hari Sukan)
Volume event. Champion houses, individual event winners, overall champion.
- 40-150 medals at minimum (sometimes 200+ for large primary schools)
- 4-12 trophies for house champions and overall winners
- Plastic trophies and acrylic medals dominate — this is the right brief for them
- Often paired with participation tokens for younger pupils

Co-curricular night (Malam Apresiasi)
Club and society awards. Best debater, best uniformed body member, best student leader, MVP per club.
- 20-50 awards, mid-tier

- Acrylic and small crystal pieces shine here
The PIBGs that order best are the ones that brief us once a year for all three events together — we save the artwork, batch the engraving, and they get materially better per-unit pricing.
Realistic PIBG budgets
Total budget for a year of school awards from a typical SK or SMK with 600-1500 students:
- Lean PIBG budget — RM2,000-3,500 per year covering sports day medals plus a modest speech-day list.
- Standard PIBG budget — RM4,000-6,500 covering all three events with proper engraving.
- Well-resourced PIBG / international school — RM7,000-12,000 with crystal apex pieces and full-colour acrylic for co-curricular.

Term-end timing — and why everyone gets squeezed
Schools across the Klang Valley run on the same calendar, so every PIBG is ordering at roughly the same time. The bottleneck weeks every year:
- Late October to mid-November — speech-day rush.
- Early to mid-March — sports-day rush.
- Late November to early December — co-curricular night rush.
If you brief in the week before the event, you’ll pay rush charges and you may not get the materials you wanted. If you brief 4-6 weeks ahead, you get full choice, full lead time, and standard pricing.
The schools that always pay the most for trophies are the ones that decide to order two weeks before speech day. Plan early — that’s the single biggest cost saving available.
The PIBG procurement and quotation process
Most schools work in one of three procurement modes; we’re familiar with all three:
- Direct PIBG order — committee approves, treasurer pays. Simplest. We quote on a normal invoice.
- School official PO — school admin issues a purchase order, often with school stamp. We quote on PIBG or school letterhead format on request.
- Tender / multiple-quote process — typical for larger orders or government-supported schools. We provide a formal written quote with itemised pricing, delivery terms and lead time, suitable for inclusion in a tender file.
We accept payment via bank transfer (FPX/Maybank/CIMB), and we issue proper tax invoices. If you need a quote in a specific format for your school’s procurement file, WhatsApp us and we’ll issue it the same day.
Standard vs custom — what makes sense at school budgets
A practical guide:
- Stock plastic trophies with engraved name plate — ideal for sports day and class-tournament winners. Lowest cost, fastest turnaround.
- Stock acrylic medals with custom UV-printed face — ideal for sports day medals with school crest.
- Stock wooden plaques with engraved metal face — ideal for speech day and academic recognition.
- Custom shapes / custom moulds — usually overkill for a single school’s annual order. Unless you have a five-year plan to use the same custom mould, stock is the right call.

A worked example
A typical SMK with 1,200 students orders for sports day:
- 60 acrylic medals (gold/silver/bronze across events) — RM5/medal — RM300
- 8 plastic trophies (champion house and individual event) — RM50 each — RM400
- 1 large overall-champion trophy — RM150 — RM150
- 1 perpetual challenge trophy (engraved every year) — RM350 — RM350 (one-time, then RM30/year for plate updates)
Total first-year sports-day spend: ~RM1,200, well within most PIBG budgets.
For speech day same school, same year:
- 25 wooden plaques for top students (form/stream) — RM85 each — RM2,125
- 5 small crystal trophies for top-of-school awards — RM200 each — RM1,000
- 10 small acrylic awards for character/leadership — RM60 each — RM600
Total speech-day spend: ~RM3,725. Combined annual: ~RM4,925, sitting in standard PIBG range.
Working with us as a school client
A few practical notes on how we run school orders, gathered from years of supplying PIBGs across the Klang Valley:
- One point of contact. We work best when one teacher or PIBG committee member is the brief-owner. Multiple parallel WhatsApp threads from different teachers about the same order leads to mixed engraving instructions.
- Approve mockups in writing. Before any engraving runs, we send a digital mockup of the engraving layout. Approval on WhatsApp from the brief-owner is the green light. This is the safety net.
- Send the student name list as a typed document, not a handwritten photo. Engravers transcribe what they read; a blurry handwritten “Muhammad Aiman” can become “Muhammad Airman” in the wrong light. Type the list in Word or Google Docs and send the file.
- Flag spelling priorities. If a name has an unusual spelling (Nor with no h, Mohd with d at the end, Khoo with double-o), flag it explicitly. Engravers will follow your spelling exactly.
- Reorder repeats are easy. We keep your previous-year files. A “same as last year, here’s this year’s name list and the new champion-house result” message gets a quote back the same day.
Working within school calendars
The Malaysian school calendar shapes the whole flow:
- January-February — quiet for school orders. Best time to plan ahead and lock in sports-day pricing for March.
- March — sports-day rush peaks.
- April-September — co-curricular tournament season; small ad-hoc orders.
- October-November — speech-day rush peaks; book early.
- December — winding down, year-end recognition for staff.
Schools that run a single annual planning meeting in January and brief us once for sports day, co-curricular night and speech day all together get the best per-unit pricing and the calmest production runs. Common questions
Do you do free delivery to schools? For larger orders within Klang Valley, yes — we usually deliver direct to the school office. For smaller orders or out-of-state, Pos Laju or J&T at standard rates.
Can we re-use last year’s design? Boleh, and we encourage it. We keep artwork files for repeat school clients and reproduce previous-year designs faithfully, just updating names and years.
How fast for an emergency speech-day order? We can sometimes turn around stock pieces with simple engraving in 3-5 working days, with a rush surcharge. Custom artwork or large quantities can’t be safely rushed.
Do you support tender requirements with formal quotes? Yes. We issue itemised written quotes in the format required by school tender files, including delivery, lead time, and total inclusive of GST/SST where applicable.
