A Dean’s List medal weighs maybe 90 grams, and it catches the morning light across a bedside shelf the same way at age 23 and at age 73. The graduation photos fade and migrate from frames into shoeboxes; the gown goes back the next day. The medal stays on the bookshelf for fifty years, the single artefact a graduate points to when her granddaughter asks what university was like.
Which is also why getting the engraving wrong on piece 847 of a 1,000-medal die-strike means a 23-year-old carries your typo for the next half-century. So here’s the convocation calendar, the six-tier award stack, and the one piece of prep that protects a thousand medals from a single typo. One note on pricing: the Vice-Chancellor, Tunku Award, senior faculty long-service and all pewter pieces are larger bespoke work I quote per spec; the medals, mid-tier crystal and wood sit within the catalogue.
The Malaysian University Recognition Calendar
Universities operate on the academic year, which means the recognition calendar runs differently from corporate Malaysia. Plan around these four windows:
| Window | Driver | Volume | Brief us by |
|---|---|---|---|
| September-October | Long-semester convocation; 2-3 sessions at large public unis | 1,000-3,000+ medals | Mid-July |
| March-April | Short-semester convocation; private uni graduations | 200-1,500 medals | Mid-February |
| Year-round | Faculty long-service, research milestones, MPP handover | 1-50 pieces per event | 4-6 weeks ahead |
| End-of-academic-year | Student leadership, faculty dinners, VC Award ceremonies | 10-80 pieces | 4-6 weeks ahead |
Convocation is the highest-volume recognition order any university issues. 1,000+ medals across multiple sessions is normal at the larger public universities.
Faculty and research work is smaller-volume but more bespoke. Brief us 6 weeks ahead for any order above 200 pieces. The medal die-strike is the constraint, not the delivery.
Convocation Award Structure: Six Tiers, Mapped
The standard Malaysian convocation award stack:
| Tier | Use case | Format | Pricing (MYR, SST-incl.) |
|---|---|---|---|
| Graduation medal (every graduate) | Universal cohort medal | Die-struck metal or acrylic medal with crest + year + programme | Acrylic RM 18-45; die-struck metal quoted |
| Dean’s List (top decile per faculty) | Distinguished cohort | Distinct medal or compact crystal 120-150mm | RM 80-180 |
| Faculty-specific top award (Top in Engineering, Medicine, Law) | Per-faculty winner | Crystal block 180-220mm | RM 280-450; larger quoted |
| Vice-Chancellor’s Award (top of cohort, 1-5 per session) | Cross-faculty top | Crystal piece 200mm+ | Quoted on spec |
| Tunku Award / institutional founders’ awards | Highest student honour | Hero crystal 240mm+, presented by Chancellor or Pro-Chancellor | Quoted on spec |
| Industry-sponsored prizes | Faculty top + sponsor branding | Crystal with two-logo layout | RM 280-450; larger quoted on spec |
For volume work, the medals are die-struck rather than laser-engraved. The volume justifies the die cost, and die-struck medals look distinctly more institutional than engraved medals.
For Dean’s List and above, we usually run a hybrid: a die-struck medal body with the recipient’s name laser-engraved on the rim or on the reverse.
The ribbon colours are critical. Each university has institutional ribbon colours, and faculty-specific ribbons within that. Send us the colour reference (Pantone or a sample ribbon) before we order ribbon stock. Allow 2 weeks for ribbon-stock procurement on a non-stock colour.
Faculty and Academic-Research Long-Service Tiers
Faculty long-service is the lower-volume, higher-value side of university recognition.
Tenured academics retain for long careers. 25- and 30-year faculty are common, especially in public universities under the Ministry of Higher Education framework. The senior tiers are hero and bespoke pieces, often pewter-mounted, so they’re quoted on spec.
| Tier | Format | Pricing (MYR, SST-incl.) |
|---|---|---|
| 5-year faculty | Small crystal desk piece (pewter alt quoted) | RM 140-220 |
| 10-year | Crystal block, 150-180mm, university crest | RM 220-360 |
| 15-year | Larger optical glass, 200mm | RM 380-450 |
| 20-year | Distinct hero, pewter-mounted crystal, 240mm+ | Quoted on spec |
| 25-year | Flagship, custom optical glass + internal 3D etch, 280mm+ | Quoted on spec |
| 30-year and 35-year | Custom-mould bespoke (2-6 weeks lead time) | Quoted on spec |
The honorific handling is similar to healthcare: Prof., Prof. Dr., Dato’, Datuk Seri, Tan Sri all common. Get the citation form locked before the design.
Academic-research milestones (research-grant completion, named-chair appointments, fellowship awards):
- Grant completion piece (one for the principal investigator): optical crystal, 220mm+, quoted on spec.
- Named-chair appointment plaque: wooden plaque with engraved brass plate, A4 size. RM 350-376; larger pieces quoted on spec. See wooden plaques.
- Fellowship-of-the-academy plaque: similar register, quoted on spec.
For faculty pieces in public universities, the BM register is the default. Even the citation will run BM-first, English-second on most pieces. For private universities, English-first is standard.
MPP and Student-Leadership Pieces
MPP (Majlis Perwakilan Pelajar) is the student representative council in Malaysian universities. Elected annually with handover ceremonies at the end of each term.
Other student-leadership bodies include faculty student councils, residential-college committees, and academic/recreational clubs.
| Tier | Format | Pricing (MYR, SST-incl.) |
|---|---|---|
| MPP president + exco handover | Wooden plaque + engraved brass, A4 or smaller | RM 220-376 |
| Best MPP president of the year (cross-faculty) | Crystal piece, 180-220mm | RM 280-450 |
| Outstanding student leader | Smaller crystal blocks or appreciation plaques | RM 180-320 |
| Club / society long-service (3-year exco completion) | Engraved pen (compact pewter quoted) | RM 60-180 |
Practical tip: student-leadership pieces are funded from student-affairs budgets that are tighter than faculty budgets. Keep designs lean, share a shape across MPP, faculty councils, and club committees, and you push the per-piece price down meaningfully through volume.
Post-graduate top-thesis recognition
Top-thesis awards at masters and PhD level are smaller-volume but high-value pieces. Often presented at the convocation alongside the regular graduation, sometimes at a separate post-graduate ceremony.
What works:
- Top masters-thesis award: crystal block 180mm, with the recipient’s name, programme, and thesis title (often abbreviated). RM 280 to RM 450.
- Top PhD-thesis award: larger crystal piece, 220mm+, with the full citation. Quoted on spec.
- Best PhD-thesis-of-the-year (across all faculties): hero piece, 260mm+, presented by the Vice-Chancellor. Quoted on spec.
The engraving on a thesis piece often runs to 3 or 4 lines: recipient name, programme, thesis title, year. Plan the layout carefully.
Our default is a vertical-orientation crystal block with the citation in serif, set lower-third on the face. The thesis title goes in italic, sentence case. For multilingual citations (a BM thesis title with an English programme name, or vice versa), we handle the layout per piece. Send us the citation per recipient as a spreadsheet.
Industry-Sponsored Prizes (the two-logo problem, solved)
Industry-sponsored prizes are awards funded by external companies (banks, oil-and-gas majors, telcos, pharma, GLCs) given to top students in specific faculties.
These pieces have to incorporate the sponsor’s logo alongside the university’s. The engraving sequence has to credit the sponsor without overshadowing the institutional crest.
Standard layout convention:
| Element | Position | Visual weight |
|---|---|---|
| University crest | Top, central | Largest |
| Award name | Second line, centred | Bold, second-largest |
| Recipient name | Third line, centred | Standard body weight |
| Sponsor logo | Bottom, smaller | Smaller than crest, framed |
| ”Sponsored by [Sponsor Name]” sub-line | Below sponsor logo | Smallest |
Pricing follows the standard award tier: RM 280-450 for faculty-specific industry prizes; cross-faculty top-of-cohort sponsored awards are larger hero pieces, quoted on spec.
Sponsor sign-off adds a step to the design timeline. Allow 5-7 working days for sponsor logo approval before plates go to engrave. We send digital proofs to both the university and the sponsor for parallel sign-off, single-track approval doubles the cycle.
WhatsApp +60 12-213 6631 if you have a complex sponsor list (more than five sponsoring companies in one cycle).
Public vs Private University Register: Where the Default Sits
Malaysian universities split into two clear design registers. Get the default wrong and you’re rebriefing the entire faculty council:
| Aspect | Public universities (UM, USM, UKM, UPM, UTM, IIUM, UiTM) | Private universities (Taylor’s, Sunway, Monash, Heriot-Watt, Curtin, Nottingham) |
|---|---|---|
| Citation register | BM-default, English secondary | English-default |
| Aesthetic | Conservative, institutional colours, crest prominent | More latitude, clean modern crystal, brand-colour bands |
| Long-service ladder | Extends to 30, 35 years | Typically 5/10/15/20; 25-year less common |
| Convocation volume | Often 5,000+ graduates/year across sessions | 200-1,500 per ceremony |
| Procurement formality | Standard RFQ/PO process; brief 8-10 weeks ahead | Lighter process; brief 4-6 weeks ahead |
| Honorific complexity | High, Prof. Dr. Datuk Seri common | Moderate |
For mixed-portfolio operators (a private university group running multiple campuses), the design track is usually unified, the same shape across campuses, with only the campus name and year changing.
The crystal trophies, metal medals, and acrylic medals ranges cover most university briefs. For ceremonial faculty pieces, the pewter range and custom-mould options handle the higher register.
For Klang Valley universities, we hand-deliver to the campus or pre-stage at the convocation venue. For outstation campuses, we ship to the campus a day ahead, allow 3 to 5 working days for outstation delivery, and we lock the cargo plan early so the medals arrive well before the ceremony.
