A 30-year sergeant’s retirement plaque hangs over a Selayang living-room sofa for three decades. Every visiting nephew and grandchild reads it. Get the pangkat wrong and the family notices for thirty years. Get the nombor anggota wrong and the contingent commander notices in ten seconds at the majlis.

That’s the brief PDRM procurement actually carries, and it’s the one most generic suppliers miss: wrong register, missing rank protocol, a lambang colour off by a shade. A typical contingent order lands six weeks before Hari Polis, a mix of 80-odd APC pieces, a couple of long-service plaques and one ASP send-off, and more often than not whoever’s coordinating it got burned by a sloppy supplier the year before.

So here’s the BM register PDRM expects, the long-service tiers from 10 to 30-plus years, and a procurement timeline that survives a Hari Polis crunch. One note on pricing up front: pewter and senior pieces I quote per spec, because pewter doesn’t sit on a fixed catalogue price, and all engraving, artwork and lambang application is free. You pay for the piece and the courier.

PDRM recognition calendar in Malaysia

The PDRM recognition calendar is anchored to fixed events:

For state contingents handling the bulk of an order in one go, the working timeline usually starts scoping pieces 6-8 weeks before the event with final artwork locked 4 weeks out.

If you are coordinating 80-150 pieces across several tiers, start conversations earlier rather than later. Engraving and artwork approval are the slowest steps.

A critical procurement note: PDRM has tight internal style conventions. The lambang PDRM has specific colour and proportion rules. Lencana pangkat must be reproduced accurately.

Supply us the contingent’s official artwork file at the start. Recreating from web images or phone photos is risky. A senior officer will spot it instantly.

Anugerah Perkhidmatan Cemerlang Polis

Anugerah Perkhidmatan Cemerlang (APC) is the formal annual recognition for officers who have demonstrated cemerlang performance in the preceding year.

It is administered through the Kementerian Dalam Negeri (KDN) framework but executed at force level by PDRM. Quotas are allocated per contingent and per pangkat tier.

Recipients get a sijil, a token sum, and almost always a plaque or award piece presented at the ceremony.

The piece itself is where contingents have flexibility. Common formats:

• Pewter shield plaque on dark wood backing, the workhorse for APC at constable to sergeant level. Dark teak or rosewood backing carries the pewter shield, etched with the lambang PDRM, the recipient’s name, pangkat, nombor anggota, and the awarding statement in formal BM. Pewter has no fixed catalogue price, so this is quoted on spec by size and pewter weight.

• Crystal plaque with metallic print, used at officer cadre tier (Inspector and above) where contingents want a more contemporary look. RM 250-450. The crystal is usually 8-12mm thick, optical-grade, with the lambang printed in metallic gold or silver UV print.

• Pewter trophy with wooden base, a step up for officers with longer tenure or specific operational distinction. The shape is usually a traditional vase or column, never anything modern or angular. Quoted on spec.

Engraving register for APC is strictly formal BM. The standard wording template runs:

Avoid English mixing in APC engraving. Avoid casual phrasing. The wording should read as if it could appear on a federal sijil. Functionally, that is its companion document.

Long-service tiers (multi-decade tenures)

PDRM, like most Malaysian uniformed services, sees substantial multi-decade careers. It is not unusual for a sergeant to have 25-30 years of service, or for a senior officer to retire with 35-plus years.

Long-service recognition is tiered. Most contingents observe the following milestones. Because these tiers are pewter- and hardwood-dominant, I quote them per spec; where crystal is chosen at the mid tiers it sits within catalogue pricing (up to about RM 450).

Wood deserves a specific note. Wooden plaques carry weight (literal and symbolic) for senior tier recognition. Many contingents prefer them for the 25-year and 30-year marks.

Wood carries a 10x MOQ and adds ~1 week of lead time on top of standard turnaround.

If a contingent is ordering five 30-year pieces and ten 25-year pieces, the wood pieces stack cleanly as a single order. For only two or three wooden pieces, we suggest pewter or crystal alternatives at equivalent register.

District-level recognition pieces

Below contingent level, IPD and individual police stations run smaller recognitions. Less formal than contingent-tier APC but more frequent. They account for a meaningful chunk of total annual volume.

District orders are typically smaller volume (5-20 pieces per cycle) but more frequent. Quarterly batches of 8-15 pieces are a practical planning pattern for IPD-level recognition.

The advantage of standardising the piece across the year is twofold:

• Predictable bajet
• The IPD can hold a small reserve stock of blank pewter shields for unexpected commendations with engraving handled close to presentation

Retirement and senior officer send-offs

Retirement pieces are the most personal recognition PDRM produces.

Officers retire with substantial tenures, often 30-plus years. The send-off piece is typically presented by the contingent commander or an equivalent senior officer at a formal majlis persaraan. For ranks ASP and above, these are larger crystal, pewter and hardwood pieces, all quoted on spec:

• Premium crystal trophy with engraved career summary, 200-280mm tall, optical-grade, with the lambang PDRM in gold metallic UV print. Engraving covers full name, pangkat, dates of service, and the contingent statement.

• Pewter trophy with extended wooden base, traditional shape, with a larger wooden plinth that allows for an inscription plate listing major postings or operational milestones.

• Custom hardwood shadowbox, for senior officers (Superintendent and above) where the contingent wants to display the officer’s pangkat insignia, lambang unit khas (if relevant), and a career-summary plate. Solid hardwood, usually teak or merbau, with a glass front.

For Inspector and below, retirement pieces usually follow the 30-year long-service template, with crystal options sitting within catalogue pricing.

A few practical notes for retirement-piece engraving:

• Career dates matter. The standard inscription includes “Berkhidmat dari [tarikh masuk] sehingga [tarikh persaraan]”. Get these dates directly from the officer’s service record. Don’t approximate.

• Pangkat at retirement is the pangkat used. If the officer was promoted in their final year, the retirement piece reflects the final rank.

• Avoid emotional language. PDRM retirement engraving stays formal and dignified. “Sebagai pengiktirafan atas sumbangan dan perkhidmatan yang panjang” is the register. Save warmer wording for the personal speech at the majlis.

• Allow time for proofing. Retirement pieces almost always go through two or three proof rounds because the wording is detailed and the family will scrutinise it. Build in 7-10 days of proofing time.

Design register: what works, what doesn’t

PDRM recognition follows a tight design register. There are good reasons.

The institution has a clear visual identity. Recipients expect tradition rather than novelty. The pieces sit in homes and offices for decades. Contemporary design language, angled cuts, mixed materials, bright accents, does not land here.

For artwork: always source the lambang PDRM from the contingent’s communications office. Do not recreate from web images. The proportions and colour values will be off and a senior officer notices in 10 seconds.

The same applies for unit khas (VAT 69, PGK, UTK) crests. They carry stricter usage rules and should only be applied with unit approval.

Procurement timing and partner workshop notes

For state contingent orders feeding into Hari Polis or end-of-year ceremonies, the working timeline is:

• 8 weeks out, initial scoping, tier breakdown, bajet alignment with KSU contingent
• 6 weeks out, supplier selection, sample pieces ordered for tier reference
• 4 weeks out, final artwork locked, all engraving lists finalised, production begins
• 2 weeks out, proofing rounds complete, production wrapping
• 1 week out, delivery to contingent HQ, internal QC, ceremony prep
